Customer: A London-based company providing corporate IT training courses to multiple customers. Over the previous two years the interest to the courses has grown dramatically, fueled by the quality and diversity of the offered courses and by the company's advanced teaching methodology.

Key problems

As the number of its clents has substantially increased, the Customer needed an easy-to-use internal system for streamlining billing and courses administration and scheduling. The courses were to be charged to clients together with the associated costs, such as costs for training rooms, course materials, etc. Detailed reporting features were also required, since the invoices had to include the data about the particular courses ordered by the clients, the number of trainees, the associated costs, etc.

The internal Corporate Training Administration System (CTAS) needed the following features to be implemented:

  • Customized settings for each client
  • Individual set of courses, daily rates and employee data for every client
  • Integration with the Customer's existing accounting applications via export/import of reports.

On the market, the Customer could not find any systems that completely satisfied its requirements.

The Customer needed to implement the system during summer time, before the start of the next term. Since the Customer had a tough budget for the development of this system, the decision to outsource this project to a software vendor was reached. After having carefully scanned the marketplace, the Company selected Arcadia, Inc., persuaded by nice references about the speed and quality of Arcadia's services.

Solution

Arcadia's team started to work on this project with a thorough analysis of the Customer's requirements. After a few rounds of e-mail exchange, the requirements for the system's functionality, architecture, graphical user interface, and reporting were captured.

Arcadia started to develop the CTAS on July 1 and finished development before the new term. The Customer started the new term with the new Corporate Training Administration System in place. The Customer was happy with the product's quality, reliability, and user-friendliness.

After implementation Arcadia provided maintenance for the CTAS and introduced changes to it according to new Customer's requirements.
